1. Introduction

This Privacy Policy explains what information ClubsZone Bot (the "Bot") collects, how it is used, and the choices you have. By adding the Bot to a Discord server or using its commands and features, you agree to the practices described here. This policy should be read alongside our Terms of Service.

ClubsZone Bot is not affiliated with, endorsed by, or sponsored by Discord Inc. or Electronic Arts. We only collect what we need to make the Bot's features work.

2. Information We Collect

To provide its features, the Bot stores a limited amount of data, including:

• •Discord identifiers — your Discord user ID, server (guild) IDs, role and channel IDs used to route notifications, and server configuration set via the bot's setup commands.
• •Linked game data — the EA player and club identifiers you choose to link, along with the public Pro Clubs statistics fetched for them.
• •Profile & community content — registered player profiles, club registrations, recruitment posts, and the messages or notes you submit through the Bot.
• •Franchise League records — virtual wallets, contracts, loans, offers, ledger entries, activity history, and prestige badges tied to your account within a community.
• •Operational data — command usage and basic logs used to operate, debug, and protect the service.

We do not collect message content beyond the commands and inputs you send directly to the Bot, and we do not request access to private messages.

3. How We Use Information

We use the information described above to:

• •Operate and provide the Bot's features, such as stats lookups, rankings, recruitment, and the Franchise League economy.
• •Deliver automated notifications to the channels a server admin has configured.
• •Link your Discord identity to your EA player and club so your data persists across sessions.
• •Maintain the integrity of competitions, valuations, and the virtual economy.
• •Diagnose problems, prevent abuse, and improve the reliability of the service.

We do not sell your personal data, and we do not use it for advertising.

4. Third-Party Services

The Bot relies on third-party services to function. These include Discord (for the platform itself), the EA Sports Pro Clubs API (to fetch public player and club statistics), and our hosting and database providers used to store the data described above.

Your use of Discord is governed by Discord's own Privacy Policy. Public statistics retrieved from EA are subject to EA's terms. We are not responsible for the privacy practices of these third parties.

5. Data Storage & Retention

Your data is stored on secure, access-controlled infrastructure operated by our hosting and database providers. We retain data for as long as it is needed to provide the Bot's features — for example, while your profile remains linked or while a competition is active.

If the Bot is removed from a server, related server configuration may be deleted automatically or during routine cleanup. You may also request deletion at any time (see below).

6. Security

We take reasonable technical and organisational measures to protect your information against unauthorised access, loss, or misuse. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

7. Your Choices & Rights

You have control over your data. You may:

• •Unlink your EA player or club at any time using the Bot's commands.
• •Remove the Bot from a server to stop further data collection for that server.
• •Request a copy of the data we hold about you, or request its deletion, by contacting us.

Some records, such as historical competition results, may be retained in anonymised or aggregated form to preserve the integrity of past events.

8. Children's Privacy

The Bot is not intended for users under the age of 13, or the minimum age required to use Discord in your country, whichever is higher. We do not knowingly collect data from anyone below that age. If you believe a child has provided us with data, please contact us so we can remove it.

9. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date at the top of this page. Significant changes may also be announced in our community Discord. Your continued use of the Bot after changes take effect constitutes acceptance of the revised policy.
